This Privacy Policy explains how TrustOtter (“TrustOtter,” “we,” “us,” or “our”) collects, uses, shares, and protects information in connection with our review management platform and related services (the “Services”). By using the Services, you agree to this Privacy Policy.
1. Who This Policy Applies To
This Policy applies to two categories of individuals:
- Clients — the businesses and individuals who use TrustOtter to manage reviews for their own businesses.
- End Customers — the customers of our Clients, whose contact information is uploaded to TrustOtter by the Client for the purpose of sending review requests.
2. Information We Collect
From Clients
- Account information: name, business name, email address, phone number, billing address.
- Payment information (processed by our third-party payment processor; we do not store full card numbers).
- Integration credentials necessary to connect to your Google Business Profile, CRM, or other tools.
- Usage data: how you interact with the platform.
From End Customers (provided by Clients)
- Name (if provided by the Client).
- Mobile phone number.
- Email address (if provided by the Client).
- Transaction context (e.g., date of service) for personalization.
TrustOtter does not collect End Customer contact information directly. All End Customer data is provided by the Client, who represents that consent has been obtained from each End Customer in compliance with the Telephone Consumer Protection Act (TCPA) and other applicable laws.
3. How We Use Information
- To provide, operate, and maintain the Services.
- To send review request communications to End Customers on the Client’s behalf.
- To process payments and manage subscriptions.
- To respond to support requests.
- To detect, prevent, and address fraud, abuse, or security issues.
- To comply with legal obligations.
4. Mobile Information & SMS Opt-In Data
Information sharing with subcontractors is permitted only for the purpose of providing support services (such as SMS aggregation and delivery via licensed messaging providers, customer service, or platform infrastructure). All other use-case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties for any purpose other than facilitating the SMS communications you have authorized.
5. How We Share Information
We share information only as follows:
- Service providers. With vendors who help us operate the Services (e.g., SMS messaging providers, email delivery services, payment processors, hosting providers). These vendors are contractually required to use information only for the purposes we specify.
- Clients. Information about End Customers is shared with the Client who uploaded that End Customer’s data, including delivery and engagement data for messages sent on the Client’s behalf.
- Legal compliance. Where required by law, court order, or to protect the rights, property, or safety of TrustOtter, our users, or others.
- Business transfers. In connection with a merger, acquisition, or sale of assets, in which case the acquirer will be bound by this Privacy Policy.
We do not sell personal information.
6. Data Retention
We retain personal information for as long as necessary to provide the Services, comply with legal obligations, resolve disputes, and enforce our agreements. Clients may request deletion of their account data by contacting support@trustotter.com. End Customers who opt out of SMS communications by replying STOP will be suppressed from further messaging across the platform.
7. Security
We use commercially reasonable administrative, technical, and physical safeguards to protect personal information against unauthorized access, use, alteration, or destruction. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
8. Your Rights
Depending on your jurisdiction, you may have rights to access, correct, delete, or restrict processing of your personal information, and to withdraw consent. To exercise these rights, contact us at support@trustotter.com. End Customers may opt out of SMS communications at any time by replying STOP to any message.
9. California Residents (CCPA)
California residents have specific rights under the California Consumer Privacy Act, including the right to know what personal information we collect, the right to delete personal information, and the right to opt out of the sale of personal information. We do not sell personal information. To exercise your rights, contact support@trustotter.com.
10. Children’s Privacy
The Services are not directed to individuals under 18, and we do not knowingly collect personal information from children.
11. Changes to This Policy
We may update this Privacy Policy from time to time. The “Last updated” date at the top of the policy reflects the most recent revision. Continued use of the Services after changes take effect constitutes acceptance of the updated Policy.
